PITCHCASES / CUSTOMER CARE
Your information. Our responsibilities.
Privacy Policy — what we collect, why we use it, who receives it and how you can exercise your rights.
Updated 5 October 2026
01. Who is responsible
PITCHCASES is operated by Music Artistic Recordings WW LLC, Florida registration L24000324149, at 1150 NW 72nd Ave, Tower 1, Ste 455 #17257, Miami, FL 33126, USA. The company is responsible for the personal information used to operate this store.
For privacy questions or requests, email info@pitchcases.pro with the subject “Privacy request”, or write to the address above. You may also contact us through Support.
This notice covers pitchcases.pro, customer accounts, purchases, support, website chat and communications associated with this store. Independent retailers and external websites have their own privacy practices.
02. Information we collect
- Account and contact details: name, email, telephone number, company, account credentials and preferences.
- Orders and delivery: purchased products, billing and delivery addresses, recipient details, currency, invoices, shipment and tracking information, returns and disputes.
- Customs information: recipient or tax identification where required for a shipment, supplied through the requested channel. Do not send identity documents to chat unless needed and specifically requested.
- Payments: payment status, transaction references, payment method and information supplied by the payment provider. Card entry is handled through the payment service; never send complete card numbers, security codes or passwords to our support team.
- Support and chat: messages, contact details, case and order references, verification events, and photos, videos or other attachments you choose to provide.
- Technical and usage information: IP address, browser or device information, approximate country, session identifiers, referral or campaign information, pages and products viewed, searches, cart interactions and checkout events. Cookies and similar technologies are explained below.
- Communication preferences: subscription, consent and unsubscribe records, and campaign interaction information where enabled and permitted.
We receive information directly from you, from your use of the website, and from payment, delivery and service providers involved in your transaction. If you provide another person’s details, for example a gift recipient, you must be entitled to provide them and make this notice available to that person.
03. Purposes and legal grounds
Where the GDPR or comparable laws apply, we rely on the following grounds as appropriate:
- Contract and steps you request before a purchase: managing your account, answering product questions, accepting and fulfilling orders, arranging delivery, and handling order-related support, returns and warranties.
- Legal obligations: applicable tax, accounting, customs, consumer-protection and regulatory requirements, and legally binding requests.
- Legitimate interests: protecting accounts and transactions, detecting abuse, maintaining service reliability, managing business records and establishing or defending legal claims. These interests must be balanced against your rights; they do not replace consent where consent is required.
- Consent: optional marketing and non-essential tracking where required by applicable law. A purchase, account registration or reading this notice does not by itself give consent to unrelated marketing or advertising tracking.
Required checkout and verification details are needed to provide the requested service. Without them we may be unable to complete an order, clear customs or verify access to a case. Optional marketing choices are separate from order processing.
04. Who receives information
We disclose information only as relevant to operating the store, serving your request or meeting a lawful obligation. Recipients include authorised personnel; Hostinger hosting and website service providers; WordPress/WooCommerce infrastructure; payment services offered for your transaction; fulfilment partners, carriers and customs agents; and professional advisers or competent authorities where necessary.
Our centralised Audiostaff systems handle store operations and website chat. Contact information, messages and relevant order records can be processed through those systems. Payment providers may also act as independent controllers for their own legal and financial obligations.
Payment integrations available on the store include Stripe, WooPayments, PayPal, Amazon Pay and NOWPayments, depending on the method available for your transaction. Cryptocurrency payments, if chosen, can involve a publicly recorded transaction; do not send private wallet keys or recovery phrases to us. Analytics and advertising integrations include Google services and Meta/Facebook when enabled and legally permitted.
A business transfer may involve necessary business records subject to applicable confidentiality and data-protection requirements. This notice does not authorise unrestricted disclosure.
05. International processing
The company is based in the United States and works with international hosting, payment, fulfilment and service providers. Processing may take place outside your country. Where international transfers are restricted, they require a valid mechanism, such as an applicable adequacy decision or contractual safeguards, or an available statutory exception. This notice is not blanket consent to a transfer. Contact us for information about the recipients and safeguards relevant to your data.
06. Cookies, analytics and advertising
The store uses cookies or similar storage for account sessions, cart and checkout functions, preferences and chat. Disabling necessary storage may prevent those features from working. Our own usage measurement records session identifiers, approximate country, referral information, product views and shopping interactions.
Google and Meta/Facebook integrations may measure visits, campaign performance and shopping events or support advertising audiences when enabled. Their activity depends on the configuration and the legal conditions applicable to the visit.
Where the law requires consent, non-essential tracking needs a separate affirmative choice before activation. Reading this policy, continuing to browse or buying a product is not that consent. Use the consent controls presented by the site and your browser’s storage settings; browser settings alone may not stop all server-side processing. Contact us for help with a privacy preference.
Some disclosures for advertising can qualify as sale, sharing or targeted advertising under applicable privacy laws. Where those rights apply, email us with the subject “Privacy opt-out”. Legally recognised opt-out signals must be respected where required. Third-party links and services have their own privacy notices.
07. Support and communications
We use your contact details to send order confirmations, payment or delivery information, security messages and replies to your requests. These service messages are distinct from promotional emails.
Marketing must have the permission or other legal basis required in your jurisdiction. Use the unsubscribe link in a promotional email or contact us to object to direct marketing. We may retain a minimal suppression record to avoid sending further marketing.
Support attachments should show only what is needed to assess the issue. Avoid including unrelated people, sensitive information, passwords or payment credentials. Order verification helps limit disclosure to the appropriate customer. If a payment, security or order decision needs clarification, contact support and request human review.
08. How long information is kept
Retention depends on the purpose and the applicable obligations, rather than one period for every record:
- Account details are retained while needed to provide and administer the account.
- Orders, invoices and payment records are retained for fulfilment and applicable tax, accounting and legal requirements.
- Support cases and evidence are retained while handling the request and for relevant warranty, dispute or limitation periods.
- Security and usage records are retained for the operational or analytical purpose, subject to the relevant settings and applicable law.
- Marketing information is retained while there is a lawful basis, with limited records kept where needed to evidence consent or respect an objection.
When the purpose and applicable retention obligations end, information should be deleted or anonymised. A pending dispute or legal preservation requirement may justify restricted retention. Backup copies may remain until the relevant backup cycle expires. Contact us for the retention criteria applicable to a particular record.
09. Your privacy rights
Depending on the law applicable to you, you may request access, a copy, correction, deletion, restriction or portability of your information; object to processing based on legitimate interests; withdraw consent; or opt out of direct marketing, qualifying data sales/sharing or targeted advertising. Withdrawal does not affect processing lawfully carried out beforehand.
Send requests to info@pitchcases.pro. Include the email used with the store and enough information to locate the relevant account or transaction. We may request proportionate verification before disclosing or changing information. Do not send an identity document unless we explain why it is necessary.
Rights have legal limits: deletion may not cover invoices or evidence that must lawfully be retained. We will explain any applicable limitation. Where GDPR applies, the normal response deadline is one month, with extensions only as permitted by law and with notice. Other jurisdictions may provide different deadlines, authorised-agent procedures or appeal rights. You may contact us to request a review of a refusal.
You may complain to your competent data-protection authority, including your local EU/EEA supervisory authority, the Spanish AEPD or the UK ICO, as applicable. Exercising a privacy right does not waive your consumer rights.
10. Security and your responsibilities
We use account authentication, access restrictions and verification measures in the store and support workflows. No internet service or transmission method can guarantee absolute security.
Use a unique password, keep your account and verification codes private, and contact us promptly if you suspect unauthorised access. Information you provide must be accurate and relevant to your request. These responsibilities do not exclude our obligations or any liability that cannot lawfully be excluded.
11. Children
The store is intended for customers able to enter into a purchase contract and is not directed at children. A parent or guardian who believes a child has supplied personal information should contact us so that we can assess the request and take the action required by applicable law.
12. Changes to this notice
We may update this notice to reflect changes to our services, providers or legal requirements. The date above identifies this version. Material changes will be communicated as required by law, and a new consent will be requested where legally required. An update does not retrospectively authorise an incompatible use of information.
Purchase, shipping and return terms are available in our commercial policy. This privacy notice explains data handling and does not limit non-waivable privacy or consumer rights.
